Crysp’s estate compliance and health and safety support can be found across warehousing, distribution centres, multi-academy school settings, aesthetics clinics, and of course day to day office spaces and retail.

Leaders managing these diverse spaces have one common interest - to deliver safe spaces in line with compliantly adhering to ever more complex legislation and sector-specific guidelines.

Case Study: Crysp supporting EDF Facilities Management Team with Property Compliance for Hinkley Point C Construction

EDF, a global energy company, is constructing the Hinkley Point C nuclear power plant in Somerset, UK. The project, which began in 2016, is expected to provide low-carbon electricity to around six million homes and create thousands of jobs.

The facilities management team at EDF is responsible for ensuring the safety and compliance of the site's buildings and infrastructure, which is a critical aspect of the project's success. However, the EDF team led by Dave Barrett and his colleague Gemma Malone, were facing challenges with property compliance generally, including keeping track of regulatory requirements, managing documentation, and ensuring consistency across the site.

The challenge

A major issue for Dave and Gemma, the team responsible for managing property compliance at the site, was the lack of a centralised system for securely managing compliance documentation across many hierarchical access levels.

Historically, and similarly to many clients before working with Crysp, the EDF facilities team were coping using a variety of shared cloud-based repositories, containing evermore complex spreadsheets, word documents, PDFs, and image files. The site workflow, as is still commonplace, also included physical paper files and other non-digital assets. In a setting that necessarily required different hierarchical access, maintaining security was no small feat.

Dave and Gemma commonly found many day-to-day logistical challenges in keeping track and ensuring consistency across their site as it developed.

One of the more frustrating aspects noted was the difficulty of communicating and essential collaboration generally across the variety of employees and visitors needing access at many different levels across the site.

Crysp’s director, Stuart Harlow comments

"We see the challenges faced by Dave and Gemma time and time again - whereby the sheer volume of documentation generated in response to the complexities of property compliance can become extremely difficult to manage using standard non-office tools.

Crysp was designed specifically to "lift" the burdens faced by clients such as Dave and Gemma by centralising those into an almost paperless workflow and where possible automating the reminders and obligations into one easy-to-use compliance dashboard. The time savings that our clients experience are significant.

We are really pleased with the impact we are delivering for Dave, Gemma and the wider team by winning back a huge time gain from their previous admin burdens. Now, Dave, Gemma and the team can focus on the things they would really prefer to be giving their time to"

The approach - compliance management software in action

Crysp worked closely with EDF to develop a comprehensive compliance management software platform, which included the following key elements:

1) Secure, Digital Documentation Management - This stage of implementation included the activation of the Crysp digital platform. Our dedicated compliance management system is designed to easily cope with the volumes of documentation generated in the day-to-day within the workflow This immediately enabled the EDF team to easily keep track of compliance documentation, perform real-time updates, and share with team members across multiple locations.

2) Training and Support: The Crysp team provided initial training and now provides ongoing support to the team at EDF. This level of support ensured a smooth transition from previous processes for the EDF team. Our remit is to ensure that our clients become equipped with the knowledge and skills to manage compliance effectively and efficiently within their unique settings.

The result

By evolving workflows from the previous non-dedicated office tools towards the specialised compliance management digital tools provided by Crysp, the EDF team has seen significant improvements to their compliance workflow.

Streamlining compliance management processes, has improved consistency, efficiency, and collaborative communication between team members site-wide.

Aside from the efficiencies created, the Crysp digital document management system has also reduced the risk of lost or misplaced documentation and improved hierarchical security access levels.

Seeing the end to paper is also a huge win for the EDF site, and also for the environment.

Needless to say. Our client EDF Energy is hugely appreciative of the improvements made following the implementation of Crysp as their property compliance partner.

Here’s what Dave Barrett, Head of FM had to say:

"Crysp has significantly improved compliance management efficiency, reducing the risk of lost or misplaced documentation, and improved collaboration between team members. Thanks to the Crysp platform, we now have everything in one place with a clear and easy-to-use dashboard."

Gemma Malone, Senior FM delivery lead, site operations who worked closely with our business ops colleague Sian Purver on implementation comments:

"The training and ongoing support that Sian from Crysp has provided has been crucial for ensuring a successful implementation. By providing team members with the knowledge and skills they need to manage compliance effectively in the Crysp platform, we have ensured a collective involvement for all involved that will undoubtedly improve consistency and reduce the risk of compliance issues going forward."

With construction not due for completion until 2027, Crysp is proud to be supporting Dave, Gemma, and the FM team at EDF as well as their G4S colleagues.

Our physical services team and Crysp digital platform have demonstrated the benefits of working with Crysp. Combining the best aspects of digital technology alongside an expert team can support even the complexities of constructing a nuclear reactor site. Of course, compliance legislation expands to properties and estates of all kinds, across many sectors. Crysp is proud to be supporting such a large UK infrastructure project and all of our diverse clients operating safer spaces across the widest range of sectors.
